A buyer's checklist before you sign off calendar artwork

Calendar printing in Malaysia: a buyer's artwork checklist

Run the Four-Pass Proof Check before you approve calendar artwork: logo, dates, colour, edges. Each pass looks for one kind of mistake only. Approval starts the 21 working day production clock, and the free online proof checks placement only, not colour accuracy, so check colour against a physical swatch or sample.

Many calendar printing problems in Malaysia start when someone replies "looks good" to a mockup on a phone screen. After that reply, the logo, the dates and the colours are locked in, and the clock starts.

This calendar artwork checklist is for the person who has to give that reply. It works whether you are a marketing lead ordering 300 sets for clients or an office manager who was handed the job on Monday. If you are still choosing a supplier, read how to pick a calendar supplier first. If you already have a supplier and a proof in your inbox, keep going.

Why the sign-off matters for calendar printing in Malaysia

Once you approve the mockup, production runs for 21 working days for table calendars. Working days, not calendar days, so public holidays inside that window push the delivery date out. Gifthxs also cannot cancel an order once it has been processed, and a modification is only possible if printing has not started.

So the sign-off is the last point where a change costs nothing. Gifthxs accepts returns only for manufacturing defects or damage, and a wrong date you approved is not a manufacturing defect.

If you want the calendar on desks in December, the order-by guidance is November 2026. We never promise a fixed delivery date in peak season, so treat November as the latest sensible point to start. The reasoning behind the cut-off is in the 2027 calendar printing order window and the cut-off date.

The Four-Pass Proof Check

The Four-Pass Proof Check means reading the same proof four times, each time looking for one kind of mistake only.

  1. Pass one, the logo. File, position, clear space.
  2. Pass two, the dates. Every holiday, every custom date.
  3. Pass three, the colour. Check it against a physical swatch or sample.
  4. Pass four, the edges. Trim, cut and anything near the fold or binding.

Give each pass a few minutes. If you can, spread the four passes over two days.

Checking the logo

Start with the file you supplied. Gifthxs prefers vector files such as AI or SVG for logos. A JPG or PNG can be traced to vector for a small additional fee. Tracing redraws the curves, so check them and any small text, such as a thin tagline, on the proof.

Then check where the logo sits. The position depends on the design.

Design Type Where your logo goes Custom company dates
Captured in Time (CA001JY) Turning wheel calendar Front cover only No
Malaysian Festive Wheel (CA002EZ) Turning wheel calendar Front cover only No
Journey Across Spaces (CA003ZY) Monthly pages, Wire-O Every monthly page Yes
Seasons In Bloom (CA004YJ) Monthly pages Every monthly page Yes

If your logo appears on twelve pages, you are approving twelve placements. Flip through the whole mockup. A logo that clears the date grid in January can crowd it in a month with six rows. For how placement affects whether anyone keeps the calendar up, see logo placement on a corporate calendar that people do not hate.

Finally, you are confirming you own the rights to everything you upload. That includes any photo or illustration you add to the artwork, not only the logo.

Checking the dates and holidays

Go through the calendar grid cell by cell.

On the two designs with monthly pages, you can set custom company dates into the grid, such as a campaign launch, an anniversary or a year-end shutdown. Check each one against your own internal calendar. Then check the public holidays.

Start with movable festival dates. Chinese New Year 2027 falls on Saturday 6 February, with the second day on Sunday 7 February, as listed on cutisekolah.com.my. Hari Raya Aidilfitri is only expected around 10 March 2027 until the moon sighting and the official gazette confirm it, so a calendar that prints it as fixed deserves a second look. Then check that the state holidays match where the calendars are going.

Also check the week start (Sunday or Monday), the year on the cover, and the month names. Read January and December twice, since year-end pages are where template errors tend to show up.

Checking the colour

The free online proof verifies placement. It does not verify colour accuracy, and Gifthxs does not offer a colour proofing service. Print tolerances allow up to 5% colour deviation from the digital proof, so a navy that looks exact on your laptop can print slightly lighter or warmer.

If your brand colour must be exact, ask for Pantone printing, which is available at an extra cost. Process printing builds colours from four inks, and some bright oranges and deep purples cannot be reproduced exactly that way. A physical swatch book such as the Pantone Color Bridge Guide shows the closest process equivalent next to each spot colour, and it is worth holding one up before you decide.

If colour matters and the order is large, ask us about a sample before the bulk run. On a run of 300 sets at RM 11.70 per set (RM 3,510 for Captured in Time and Malaysian Festive Wheel), checking a sample first is worth asking about.

Checking the edges

Now look at the margins and the shape. Calendars here are die-cut, so the cut line matters more than it would on a flat print.

The terms allow some variation, and it helps to know the numbers before you design to the edge. Size can deviate by up to 3mm, cutting position by up to 2mm and folding position by up to 1mm. Rejections are not accepted within those ranges. So do not run a logo to within a millimetre of a cut edge, and do not place text where a 2mm shift would clip it. Give artwork breathing room.

On the wheel designs, check that nothing important lands near the screw binding. On the Wire-O design, check that the binding holes do not sit on the date numerals.

What the mockup can and cannot tell you

The mockup is sent for approval before printing, and the free online proof usually arrives within about one working day. It shows where things sit. It does not show:

  • True colour, so use a swatch or a sample for that.
  • Paper feel, so check the stock in the product spec.

Use it for logo position, date accuracy and text.

Three rounds of design revisions are included. Use them early. If you know your CEO will want to see the proof, send it to them on the first round, because a late change from the top is the one that threatens the date.

What you are buying

Knowing the specs also helps you judge the proof. For table calendar printing in Malaysia, the four designs differ, so do not assume one set of details covers all four. Every custom made calendar in Malaysia from Gifthxs starts at 300 sets per design.

Journey Across Spaces is A5 landscape at 21cm x 14.8cm, with 250gsm matte art card pages, a 700gsm chipboard stand wrapped in 110gsm Linmaster paper, and Wire-O binding. It is RM 16.90 per set at 300 sets, which is RM 5,070. Seasons In Bloom measures 22cm x 20.5cm on 250gsm ivory card with a double-layered 350gsm ivory card stand, also RM 16.90 per set at 300 sets. Captured in Time and Malaysian Festive Wheel use 350gsm art card with matt lamination on one side and screw binding.

The minimum is 300 sets per design, and designs cannot be mixed within that minimum. Order 300 calendars, get 50 extra free, 350 in total. Prices include delivery within West Malaysia. East Malaysia and orders above 2,000 sets go through a custom order rather than checkout.

If you want to see the full range before you review a proof, our calendar printing Malaysia page lists all four designs and their prices.

Who should sign off, and who should not

One person should own the final reply, and two others should read the proof first. We suggest marketing checks the logo and colour, HR or admin checks the dates and holidays, and the budget holder gives the approval. Calendar proof approval goes faster when each reader knows which pass is theirs.

Give your team a named deadline, such as Friday, and say what happens if nobody replies.

If you are early, you have room to ask about a sample, run all four passes and still fit in a revision. If you are late, ask whether a rush is feasible. Rush orders are available on request, with no fixed rush fee, but feasibility depends on the queue, and the four weeks before each festival are the busiest of the year.

A short calendar printing checklist for Malaysia

  • Logo file is a vector such as AI or SVG, or the traced version has been checked.
  • Logo position matches the design: cover only, or every monthly page.
  • Every custom date matches your internal calendar.
  • Public holidays match the official list, and movable festivals are marked as expected where relevant.
  • The year, the week start and the month names are right.
  • A sample has been requested if colour is critical, or Pantone has been asked for.
  • Nothing important sits within 3mm of a cut edge or near the binding.
  • One named person gives the final approval.

Frequently asked questions

How long does calendar printing take in Malaysia after I approve the artwork?

Gifthxs table calendars take 21 working days after logo approval. Working days exclude weekends and public holidays, so the delivery date depends on what falls inside that window. This is longer than the lead time for money packets, so plan calendars first.

Does the free proof check my colours?

No. The free online proof checks placement, not colour accuracy, and Gifthxs does not offer a colour proofing service. Print can deviate up to 5% from the digital proof. For exact brand colours, ask about Pantone printing at an extra cost, or ask us about a sample before the bulk run.

Where does my logo go on a Gifthxs table calendar?

It depends on the design. On Captured in Time and Malaysian Festive Wheel, the turning wheel designs, the logo goes on the front cover only. On Journey Across Spaces and Seasons In Bloom, it goes on every monthly page.

What is the minimum order for a custom table calendar?

The minimum is 300 sets per design, and designs cannot be mixed within one 300-set minimum. Order 300 calendars, get 50 extra free, 350 in total. Orders above 2,000 sets, and any delivery to East Malaysia, go through a custom order.

Can I change the artwork after I approve it?

Only if printing has not started, and not guaranteed. Three rounds of design revisions are included before approval. Once an order is processed it cannot be cancelled, so make your changes before you reply with approval.
